Job Description: Database Administrator

Department: Information Technology

Reports to: Director of Information Technology 

Core Focus: Database Management, Data integrity, Security, Troubleshooting, Training and Support

Position Summary:
The Database Administrator is the primary architect of data quality and the lead systems problem-solver for the school’s information ecosystem. This role ensures that data flows seamlessly and securely between all departments—Admissions, Academics, Business, and Development—while providing high-level technical support to all constituents. Beyond routine administration, this role demands a systems-oriented problem solver who can identify root causes, streamline workflows, and ensure the school fully maximizes the capabilities of its platforms. 

Key Responsibilities:
1. Data Integrity & Auditing
•    Record Lifecycle Management: Manage the transition of records from applicant to student to alumnus in Blackbaud’s Education Management System (EMS). Process sensitive changes, including withdrawals (verifying grades) and deceased status.
•    Constituent Maintenance: Manage basic contact updates for students and parents in Blackbaud’s EMS and Raiser’s Edge (RE) while partnering with the RE DBM on duplicate resolution.
•    Access Control: Manage and audit security levels and permissions for all users including faculty/staff across Blackbaud’s Education Management, Billing Management, Raiser’s Edge, Financial Edge, Blackbaud Merchant Services systems 
•    Preventative Auditing: Perform regular data audits to ensure inquiries and applications do not overwrite existing parent, student, or alumni data. Coordinate cross-departmentally with Admissions and Alumni to rectify discrepancies.

2. Systems Troubleshooting & Technical Support
•    High Level Issue Resolution: Act as the primary point of contact for complex technical hurdles, including EMS, FE/FENXT and RE/RENXT troubleshooting, Blackbaud ID (BBID) parent connection issues, enrollment contract submission errors, and login failures for Trustees, faculty, and parents.
•    Blackbaud Liaison: Identify and document systemic bugs; create and manage support cases until a permanent resolution is achieved. Share relevant systems updates and communications and attend K-12 conferences/webinars to stay current on product updates.
•    Email Deliverability: Diagnose and solve communication failures for school-wide "Pushpages" by analyzing bounce reports, unsubscribe trends, and suppression lists.
•    IT Desk Support: Provide hands-on hardware and software support for mySevern, iPads, faculty/staff devices, and BYOD devices.

3. The Blackbaud Ecosystem & Integrated Modules
The Database Administrator oversees the deep integration of the following modules:
•    Core: The foundational source of truth for all constituent records and security permissions. Performing the annual systems rollovers in Core is crucial to ensure the system is set up correctly year to year.
•    Academics (SIS & LMS): Management of student records, attendance, conduct, gradebooks, report cards, transcripts, official notes, assignments, conduct, and learning profiles. As the primary Grading Manager for the school, work with all divisions ensure all academic data is accurate, gradebooks are setup correctly, report cards are released on time, transcripts are accurate, GPAs are calculating correctly, and schedules are released on time, etc. Ensure all group pages (classes, advisories, activities, athletics, community groups) are visible to the correct audiences on the appropriate dates. 
•    Enrollment Management and Annual Student Forms: Support the admissions funnel, including application setup support, contract generation, and annual student enrollment checklists and online forms.
•    Extracurricular: Configuring groups for athletics, advisory, and community activities.
•    Financials: Supporting Financial Edge (FE/FENXT) and Student Billing (transitioning from Tuition Management to Billing Management). Support Blackbaud Merchant Services (BBMS).

4. Academic & Faculty Leadership
•    Faculty, Staff, and Student Training: Lead LMS (mySevern) orientation for all staff. Provide specialized Learning Management System (LMS) training for Middle and Upper School faculty. Participate in Student and Parent Orientations to introduce the LMS
•    Institutional Support: Partner with the School Nurse on August Schools integration and support Learning Specialists in their use of mySevern tools.
•    Data Strategy: Chair the Data Committee, setting agendas and providing oversight to ensure school-wide data policies are followed and modernized.
•    Strategic Analysis: Analyze academic grading, enrollment, and constituent data trends to provide actionable insights to leadership.
•    Collaborative Planning: Attend calendar and division assistant meetings to ensure data systems support school-wide events and communication.

Required Skills & Qualifications
•    Proven experience in database management, preferably within a K-12 independent school environment.
•    Expertise in the Blackbaud’s full “K-12" platform and familiarity with Raiser’s Edge, Financial Edge, and Blackbaud Merchant Services.
•    Strong analytical skills with the ability to translate complex data into clear reports via Excel and Blackbaud’s Insights and Dashboards.
•    Ability to problem solve technical issues for faculty, staff, parents, and students.
•    Exceptional "customer service" mindset for supporting parents, students, and faculty.
•    Ability to handle sensitive and confidential information with extreme discretion.
•    General understanding of database logic and queries
